  consolidated billing administration services relieve employers of the complicated and time consuming task of maintaining group health & welfare eligibility databases, disbursing payments to carriers, and reconciling monthly bills to make sure that adjustments are properly made.

Consolidated Billing Administration Installation and Set-Up

 

Service Standard Optional
Provide installation set-up materials to plan sponsor, including electronic forms for collecting information about all group health & welfare plans and rates, and current billing reports identifying all employees, spouses, and dependents enrolled in the plans (if desired, individual divisions, employee locations, employee classifications, etc. can be tracked and reported separately)

 

 

Annual Services

 

Service Standard Optional
Update ARC system to reflect all open enrollment coverage changes, utilizing information provided by the employer, and change billing rates to reflect all group health & welfare rate changes
Mail health & welfare plan open enrollment benefit materials to eligible employees
Collect health & welfare plan open enrollment benefit materials from employees or the employer and send the forms/ enrollment information to the carriers and to the employer (the employer report can include payroll deduction amounts, if desired)


Ongoing Administration Services

 

Service Standard Optional
Receive notification of new employee enrollments, terminations, and other status changes from the employer
Update the ARC system to reflect all day-to-day coverage changes, utilizing information provided by the employer, and maintain a current and accurate database of all group health & welfare enrollment information
Utilizing the carrier bills for each month, bill and receive from the employer the exact amount required by the carrier billings, and disburse the appropriate payments to each carrier
Conduct an independent, monthly reconciliation process: calculate the appropriate premium billing amounts, by line of coverage (using the current enrollment information in the ARC database), and compare the ARC billing amounts to the carrier billings
Track all appropriate carrier bill adjustments and communicate with carriers to ensure that all adjustments are properly reflected
Provide detailed monthly reports to the employer to identify enrolled employees, differences between ARC and carrier bills, and a summary of carrier bills
Provide toll-free customer service to the employer and carriers
Upon notification of the eligibility of employees, mail health & welfare plan enrollment benefit materials to such eligible employees
Collect health & welfare plan enrollment benefit materials/ election forms from employees or the employer and send the forms/ enrollment information to the carriers and to the employer (the employer report can include payroll deduction amounts, if desired)
